Retaining emails of Disabled/Deactivated Users

  • When a user leaves the company and you need to make them inactive, if you change that email account to a POP instead of IMAP it will download their emails to a Zoho Mail account and therefore keep them with the CRM.  It will use some of the data allotted to their account but the emails will stay.


    After you move them to POP you can backup the emails: 
  • Deactivate the User 
  • Then go to Users and Control and select Security Control 
    Zoho Mail Add-on Users take 
    Click the Backup Emails button (it won't display until the user is deactivated) 

    Now you can successfully disable the User's email account as well, but they will still be attached to the records. Process can take a couple of hours.
